Case Management System
Challenge
To design, develop and deploy a bespoke case management system for the Health & Safety Authority which consolidates all the organisation's direct interactions with employers, employees, representative bodies and members of the public within a single application.
Solution
Over a year and 2500 man-hours in development, GeoSMART features workflow and collaboration functionality which significantly improves how cases and inspections are assigned, coordinated and tracked within the Authority. A sophisticated geographical mapping capability gives management enhanced data visualisation, aiding logistics and planning. Key Performance Indicators built into the system allow senior managers to instantly access information about the Authority's progression against the Program of Work at a National, Area and Team level.
Features of the system include:
1) Document Management
Templates for correspondence are stored and managed within the application, ensuring consistency in usage. All correspondence is recorded and tracked within the system.
2) Graphical Mapping
GeoSMART has a sophisticated, graphical mapping capability which allows users to quickly locate employers on a detailed map and to display other important information, such as fatalities and high-risk employers. Some 60,000 addresses are stored within the system and these can be interactively located and updated via drag-and-drop functionality. Each user has complete control of their system view, allowing them to view inspection area boundaries and limit the display to individuals or teams.
3) Search
A powerful search engine allows users to find almost any piece of information about employers, contacts, inspections, investigations, incidents and much more.
4) Outlook Integration
The GeoSMART inbox simply and effectively collects all the outstanding work items for inspectors and allows team leaders to quickly assign work to team members. It is integrated with Outlook so emails sent to individuals can easily be attached to employers, inspections, investigations and other records in the system.
Benefit
The Authority will gain immediate benefit through improved reporting and operational planning. In the long term, costs will be significantly reduced through process automation and the system is expected to pay for itself in less than three years.
