Engineers Ireland: Membership Management System

Engineers Ireland

Challenge

The challenge for Version 1 was to deliver an integrated membership management system to enhance the overall experience of members, provide operational efficiencies for staff and support the organisation’s goal of doubling its membership in the next five years.

Solution

The two most obvious options to consolidate and integrate the existing member systems were: expensive 'bespoke' or inflexible 'off-the-shelf'. Version 1 provided Engineers Ireland with a very attractive third option: Harness our expertise in member management and leverage pre-existing design components to assemble a customised solution designed to meet the organisation's exact requirements. Version 1 deployed a small, focused development team to work on client site which facilitated liaison with stakeholders and the project steering committee and ultimately helped completion to a very tight schedule.

The system replaces an existing membership management application and CRM system with a centralised member-centric system with interfaces to a number of other systems and applications, including an online payment facility.

Key features of the new system include:

  • Consolidated data and reporting tool
Member, company and organisation records are consolidated in one system providing a single, shared view of business relationships and a business intelligence tool that enables more effective management of relationships and faster more accurate measurement of performance.
  • Management of business processes
The ability to case manage member applications, step-by-step towards completion, rather than simply recording the outcomes of these key processes. This reducing reliance on paper-based systems and facilitating better and faster communication with applicants.
  • Content Management
A central repository for all member-related documents and correspondence allows for better management of activities such as events and courses.
  • Drive business performance
Targets can be set and campaigns executed and monitored, supporting membership growth and attendance at events and training courses.

Benefit

"Our new membership management system really puts our members at the centre of everything we do. We are already seeing significant benefit from the system, particularly in terms of customer service and operational efficiencies. We have significantly increased the speed at which we can process new memberships, and our members report much improved engagement with us. At the same time, we have reduced the effort staff spend on administering memberships, allowing us to refocus staff efforts on activities that bring higher value to our members."
John Power, Director General Engineers Ireland

Faster member processing leads to improved member/customer satisfaction.
  • Better reporting
Real time reporting of all actions taken within the system which helps to monitor service quality.
  • Lower costs
Efficiencies and the streamlining of processes and administrative activities mean lower costs.
  • Increased revenues
An online shop will enable the sale of CPD online, including courses, e-learning tools, webcasts, and publications.
  • Increased staff productivity
Streamlined processes managed in a controlled environment will lead to higher staff productivity levels.
  • Increased security and data integrity
